Example 1 - Online Calendar Solution

All too often, Holiday and sick day tracking involve a lengthy paper trail which no one enjoys. At Lemon Computing we've addressed this with our own bespoke solution.

It started as a calendar to track holidays. Then we added support for sick days and meetings. Then we automated the process of asking for approval for holidays. Then we added a blog, forums and support for training manuals and a wiki for your organisation. The end product was no longer just a calendar but a full CMS, we have called LemNet.

How it works

Lemnet is a website, extending and tailoring the award-winning Drupal CMS for your business. It can be hosted on either our servers (for a minimal hosting fee), or on yours. Users go to the website (you can pick the address) and login if they have an account. If not, they simply register for a new account, where one or more members of your organisations management team will receive an automated e-mail asking to approve the new account (just to check it really is someone from your organisation!). Once logged in a user is free to book holiday leave, see who else is on leave or will be shortly, browse training manuals and documentation and contribute to them.

Making a booking

Once a user is logged in, a simple button lets them create a booking. The user is asked if they want to book a holiday, sick leave, meeting, or other type. Once selected, they can give their holiday a descriptive name and specify any details others will need (such as who will take over their responsibilities, or their availability). Finally, they select the dates for their booking.

If a holiday was submitted, an e-mail is automatically sent to the management team, informing them that a user has created a holiday. While a holiday is not yet approved, it will not be visible to others users. A manager can then log in and review the holiday request. With just a few clicks, the manager can see the employees previous holiday bookings, sick leave taken, and totals per year. The holiday can then be approved, denied or more information requested. Whatever the case, an e-mail is then sent back to the user informing them of the action taken. If approved, the holiday is automatically added to the calendar and in the upcoming holiday list.

Building a community

LemNet can also be used to share information and collaborate on documents. Full forum functionality, wiki pages and documentation can all be added. Pages can be structured so that anyone in the office can comment on articles, adding their feedback, or so that anyone can edit articles, just like in Wikipedia.
Here in the Lemon office, we use this functionality of LemNet to create and maintain documentation the team needs to know about. Whenever a team member sees something is out of date, they update it, giving us all high quality information on everything we need.
